MINUTES OF THE GENERAL BODY MEETING (GBM) OF THE ALUMNI ASSOCIATION OF JNU (AAJ)

Date: August 6, 2026

1. Opening and Quorum Call
The scheduled meeting was called to order by the President. As the initial quorum
requirement was not met, the House unanimously consented to a brief
adjournment. Upon resuming after the brief recess, the meeting officially
reconvened as the formal General Body Meeting (GBM) to transact business.
2. Confirmation of Previous Minutes & Action Taken Report (ATR)
The President read the minutes of the previous General Body Meeting held on May
2, 2026, at the Secular House. The House confirmed the minutes and subsequently
discussed the updates regarding the actionable points:
2.1. Launch of AAJ Newsletter: The Executive Committee (EC) resolved to initiate
the official AAJ newsletter during the current session. The President announced
that the inaugural issue, curated by the AAJ Publication Cell Committee, will be
released in November/December 2026 and distributed at the next GBM.
2.2 JNU Campus Infrastructure Support: The House addressed the pressing need
to assist the university in repairing and restoring its deteriorating infrastructure,
specifically citing sanitation facilities and broken window panes across campus
hostels and the library.
2.3 Appointment of Infrastructure Convener: Shri D.P. Vajpayee will serve as the
Convener of this dedicated infrastructure support committee. The committee will
formulate and present detailed execution blueprints in due course.
3. Empowerment of the EC & Formation of Standing Committees
The General Body formally empowered the Executive Committee (EC) to make
direct nominations to various specialized AAJ bodies. Following a call for
volunteers among the attending alumni, the House approved the constitution of
the following committees along with their designated members and conveners:

1. Welcome
General Secretary Dr. Sandesha Rayapa welcomed AAJ members and requested the newly elected President, Dr. D. P. Vajpayee, to felicitate outgoing President Mr. Binod Kumar Singh with a bouquet.

2. Handover
Outgoing President Mr. Binod Singh welcomed Dr. D. P. Vajpayee with a bouquet and handed over the following items:
– Meeting minutes register
– AAJ cheque book
– One mobile phone

3. Introduction of New EC
The newly elected office bearers were introduced by the Vice President Mr. Himanshu Shekhar in a video recording to be shared with AAJ members:

4. Items Handed Over
(i) Register for recording minutes of all AAJ EC meetings
(ii) AAJ account cheque book containing 48 cheque leaves.
(iii) One mobile phone with a damaged screen and no charging cable. The SIM inside is non-functional and the phone had zero charge at the time of handover.

5. Membership Update
The current AAJ membership stands at 631. Four additional entries have been kept blank to facilitate those alumni whose lifetime membership fee was received in the past but membership not granted due to some or the other reason. They have to request the present EC with proof of their eligibility and payment details. This is to settle for any membership related discrepancies.

6. Next GBM
The AAJ General Body Meeting is tentatively scheduled for Thursday, 06 August 2026. Venue and agenda will be circulated well in advance.

7. Digital Communications
Mr. Irfan Ahmad and Mr. Shitanshu Dwivedi will be responsible for recording and uploading videos to the AAJ YouTube channel and other social media platforms, including Facebook with approval of the President.

Minutes of the 1st Executive Committee Meeting held on 04 July, 2026

Saturday 04 July, 2026 | 5-7 p.m.| Press Club of India

1. Handover-Takeover Ceremony: Finalized for Saturday, 11 July 2026, 11:30 AM at the Press Club of India.

2. Bank Account Signatories: The President and Treasurer will be the authorized signatories for the bank account transfer.

3. Quarterly Knowledge and Dialogue Series
•Scope: Topics and a panel of 50 speakers to be finalized. Target audience: 100 participants comprising AAJ lifetime, annual, and non-lifetime JNU alumni.
•Venue: IIC, CCI, or PCI are under consideration. Budget cap: Rs. 25,000.
•Coordinator: Dr. Darshinipriya will oversee online webinars. First tentative webinar: Shayari / Poetry / Jashn-e-Azaadi in August.

4. Designing and Printing of AAJ Stationery: Mr. Irfan Ahmed will oversee the design and printing of the AAJ letterhead and membership receipt book.

5. Newsletter and Website: Mr. Irfan Ahmed and Mr. Shitanshu Dwivedi will jointly manage the AAJ newsletter and website.

6. First General Body Meeting (GBM) & Membership Drive
– Agenda Items: Chief Guest, mementos, certificates, AAJ parking stickers, newsletter launch, and website inauguration.
– Membership Target: Each EC member to enroll at least 5 new members.
– Verification: For degrees prior to Digilocker (pre-2015), two JNU alumni or EC members may vouch for lifetime membership applicants.
– Grievances: All previous or pending issues related to lifetime membership payments will be addressed. Proof of payment will be required.

7. EC Meetings: Monthly EC meetings will be scheduled with a circulated agenda in advance.

8. Revival of Committees: Sixteen AAJ committees to be revived. Committees such as Membership, Ethics, Cultural, Development, Academic, and Media Committees.

9. Legal Matters: The current status of ongoing cases was briefly discussed.
